How to start and keep your stock register

Type the opening stock once; after that every purchase and sale bill moves the stock by itself. Here you record what left without a bill and check it against a count.

Step by step

  1. Type the opening stock once. Opening stock: start date (usually 1 April), each item with quantity and cost per unit without GST.
  2. Keep making bills. Invoices, cash memos, purchase bills and returns, self invoices and credit notes for returns change stock by themselves.
  3. Record what left without a bill. Adjust stock for damage, own use, samples, gifts, loss or expiry, with the reason.
  4. Count now and then. Count stock: type what you counted; the differences are saved.
  5. Set low-stock levels. Open an item › Set low-stock level; items at or below it show under Low stock.
  6. Print, share or download. Stock summary or an item's register, PDF or Excel.

Worked example

Opening 1 April: 300 hinges at ₹30. Bought 500, sold 380, 5 damaged. Books: 415. A count finds 410: Count stock saves −5 as a difference. Value at average cost ₹30: ₹12,300.
